News from April’s Library Council

* Discussion regarding late and lost items are ongoing. One issue is how much the library should raise the fees/fines, perhaps based on the location and cost for replacing the lost items. Soon, the library is going to receive the fees and fines from Criser, perhaps as soon as next FY, and we must begin to set procedures for replacing lost items. Paul & I will put together a draft of proposed procedures for handling the replacements in A & L.

* Library West will be closed to the public starting May 2 for re-flooring construction.

* The Library Recognition Committee is proposing new Library Awards, much like the ones given out in the past at the Library Holiday Party. For more info: http://www.uflib.ufl.edu/committees/recognition/draftsmathers.html

* Personnel changes: Rich Bennett will Chair Special Collections & Area Studies; a search is just starting for the HR Librarian (Paul Lightcap has agreed to serve on the Search Committee), and a search for the new position of Associate Dean for Tech & Support Services will be launched very soon. At MSL: Tara Catalodo will Chair MSL with Vernon Kisling becoming Associate Chair; meanwhile, 2 new MSL librarian positions will be created with one to be filled.

Congrats to Raimonda & Paul..

Raimonda & Paul’s high-level work and excellent management of the Serials & Monograph Units during the past year have been recognized with promotions to Associate IIIs. It isn’t a stretch to say this is a reflection on the value (as seen by Admin) of the work being done in A & L, and in the TS Division in general. After our Unit Manager’s meeting in January with Dean Russell – where each manager presented a short summary of an ongoing initiative within their unit - Judy sent me a nice email to say that the A & L staff impressed her with our organization and technical skills. We should also give thanks to Brian Keith for being extremely fair and supportive during the process of reclassifying and promoting Raimonda & Paul. Schedule of Blackwell’s April visit

For four days beginning on Monday, April 14, Robin and John will visit the library onsite and concentrate the bulk of their review on the workflow in three areas of operations:

1) CM Support Unit in what is currently the Collection Management Department

2) Monographs Unit in the Acquisitions & Licensing Department

3) Copy Cataloging/Processing Unit in the Cataloging & Metadata Department

Robin will review current tasks performed by the staff in the three areas. Robin is asking Unit Mangers to ask staff in the units for the next couple weeks to keep a log of the nature of the tasks they perform. During the onsite visit, Robin and John will sit with staff in each unit and monitor the workflow and make notes. Robin & John will combine the information provided by Steve & Paul with the notes made onsite to assess what is and isn’t working in an efficient manner. At this point they will discuss and possibly make recommendations on changing the workflows, anticipating the new Collection Manager database system due out in August.

Schedule of workflow analysis:

Monday, April 14,

9:00 – 10:30 a.m.  Robin & John will meet with Steve & Paul to review current workflow and will be given a tour of the libraries and the three units the workflow analysis will focus on.

10:30 – 12:00 p.m.  Robin & John, with Steve & Paul, will meet with a small group of selectors, including Peter McKay, Pam Cenzer, and Tara Cataldo, to prepare for the profile sessions (Kim Anderson and Carol Hausauer will join the conversation via conference call).

2:00 – 4:00 p.m.  General Session – staff from all three units will meet to discuss and learn about the workflow analysis project.

4:00 – 5:00 p.m.  Robin & John will meet with Michele Crump. 

Tuesday, April 15,

9:00 – 10:00 a.m.  Robin & John will meet with Steve, Paul, Betsy Simpson & Doug Smith to discuss PromptCat records and other cataloging issues.

10:00 – 11:30 a.m.  Robin & John will meet with staff in Copy Cataloging Unit to discuss and review workflow.

1:00 – 3:00 p.m.  Robin & John will meet with staff in CM Support Unit to discuss and review workflow.

3:00 – 5:00 p.m.  Robin & John will meet staff in with Monographs Unit to discuss and review workflow. 

Wednesday, April 16,     

9:00 – 10:30 a.m.  Robin & John will meet with Raimonda Margjoni, Paul, Steve, Mark Allender, and the Serials Unit to review workflow and processing of Standing Orders (shelf-ready and non shelf-ready).

10:30 – 12:00 p.m.  Robin & John will meet with Acquisitions Unit Managers to discuss materials budgets and fund accounting.

3:30 – 5:00 p.m.  Robin & John will meet with managers of the Technical Services/CM areas.

Thursday, April 17,

9:30 – 11:00 a.m.  Robin & John meet with Steve & Paul to review the workflow analysis and prepare for the May sessions.

1:00 – 2:30 p.m.  General Session – Robin & John meet with selectors to provide them an overview the profiling process.
